Booking Terms & Conditions

7 Days / 6 Nights | Central Australia

These terms and conditions apply to the 7-day Outback Expedition offered by sids.ventures.

Our expeditions are designed to provide an immersive experience of Australia’s landscapes, natural history and culture. They involve small-group travel, remote camping, outdoor activities and shared experiences.

By booking, participants acknowledge the nature of the expedition and agree to the following terms and conditions.

Nothing in these terms excludes, restricts or modifies any rights or remedies available under the Australian Consumer Law or other applicable legislation.

1. Bookings and Payments

• A booking is confirmed once the required deposit has been received and sids.ventures has issued written confirmation.
• The deposit amount will be specified at the time of booking.
• Full payment must be received no later than 90 days before departure, unless otherwise agreed in writing.
• Bookings made within 90 days of departure require full payment at the time of booking.
• If payment is not received by the due date, sids.ventures may cancel the booking after providing written notice and a reasonable opportunity to pay. Applicable cancellation conditions may then apply.
• All prices are quoted in Australian dollars (AUD) and include GST where applicable.
• The price confirmed at booking will be honoured unless the participant requests an agreed change involving additional costs.
• Tour inclusions and exclusions are those specified in the published itinerary and booking confirmation.

2. Guest Cancellation Policy

All cancellation requests must be submitted in writing. The cancellation date is the date the request is received by sids.ventures.

For voluntary cancellations, the following scheduled charges apply, to the extent reasonable and legally enforceable:

• 30 days or more before departure: Full refund of payments received, less the booking deposit.
• 15–29 days before departure: Refund of 50% of the total tour price.
• 14 days or fewer before departure: No refund ordinarily provided.

These cancellation charges reflect the limited capacity of the expedition, advance bookings, operational commitments and potential difficulty replacing cancelled places at short notice.

Cancellation charges will not exceed amounts lawfully recoverable, taking into account reasonable losses, costs avoided and opportunities to fill the vacated place.

Booking Credits

Participants cancelling more than 14 days before departure may request a full booking credit instead of the applicable refund.

• Credits are valid for 12 months from the original scheduled departure date.
• Credits may be applied towards another available sids.ventures tour departing within that period.
• Any difference in tour price must be paid by the participant.
• Credits are subject to availability and written confirmation.
• Voluntary credits are not redeemable for cash unless required by law.

Tour Transfers

Participants may request to transfer to another available sids.ventures tour at least 30 days before their scheduled departure.

• No administrative transfer fee will apply.
• Any difference in tour price will be adjusted accordingly.
• Transfers are subject to availability and written confirmation.
• Requests within 30 days will be considered individually, taking into account costs and commitments already incurred.

Participants may also request to nominate a replacement traveller, subject to suitability, availability, required information and any reasonable additional costs.

No-Shows and Early Departure

Participants who fail to join the tour, voluntarily leave before its completion or choose not to participate in included activities are not ordinarily entitled to a refund for unused services, except where required by law.

3. Cancellation or Rescheduling by sids.ventures

sids.ventures reserves the right to cancel or reschedule a departure where minimum participant numbers are not reached or where operational circumstances prevent the expedition from proceeding.

Insufficient Bookings or Operator Cancellation

Where sids.ventures cancels a tour because minimum participant numbers are not met, or for another reason within its control, participants will be offered:

• A full refund of all tour payments, including the deposit; or
• The option to transfer to another available departure; or
• A full booking credit, where voluntarily accepted.

Participants will not be required to accept a credit where a refund is required by law.

Unforeseen Circumstances

Severe weather, flooding, bushfires, natural disasters, road closures, government restrictions and other events beyond reasonable control may affect or prevent a departure.

Where this occurs, sids.ventures will communicate available alternatives, refunds or credits, taking into account the circumstances and applicable law.

Participants will be notified of cancellations or significant rescheduling as soon as reasonably practicable.

Any entitlement to compensation for associated travel expenses remains subject to applicable law.

4. Travel Insurance

COMPREHENSIVE TRAVEL INSURANCE IS STRONGLY RECOMMENDED FOR ALL PARTICIPANTS.

This expedition travels through remote regions of Central Australia where medical assistance, emergency transport and alternative travel arrangements can be expensive or difficult to access.

Participants are strongly encouraged to arrange suitable insurance immediately after booking.

Recommended coverage includes:

• Trip cancellation due to illness, injury or unexpected personal circumstances.
• Travel delays, missed connections and interrupted journeys.
• Emergency medical treatment, ambulance transport and remote-area medical evacuation.
• Personal injury, illness and relevant pre-existing medical conditions.
• Loss, theft or damage to luggage and personal belongings.
• Bushwalking, remote camping and other planned activities.

Australian residents should not assume Medicare or private health insurance includes all ambulance and evacuation expenses.

International participants should ensure they have adequate medical insurance for their stay in Australia.

Participants are responsible for reviewing their policy’s inclusions, exclusions and coverage limits.

Travel insurance does not replace any obligations owed by sids.ventures under Australian law.

5. Nature of the Expedition and Physical Fitness

This is a remote-area camping expedition involving extended vehicle travel, walking, outdoor activities and exposure to varying environmental conditions.

Participants should be prepared for:

• Uneven, rocky, sandy or steep terrain.
• Moderate physical exertion and bushwalking.
• Hot days, cold nights and unpredictable weather.
• Extended periods of vehicle travel.
• Camping in locations with limited facilities.
• Dust, insects, wildlife and other natural hazards.
• Limited phone reception and delayed emergency assistance.

Participants must have a reasonable level of fitness appropriate to the advertised itinerary.

Before booking, participants should advise sids.ventures of any disability, mobility limitation, medical condition or other circumstance requiring adjustments to participate safely.

sids.ventures will consider reasonable adjustments and assess participation requirements individually and in accordance with applicable law.

Activities may be modified where reasonably necessary for participant safety.

6. Medical Conditions, Allergies and Dietary Requirements

Participants must disclose relevant medical conditions, allergies, dietary requirements and mobility limitations before departure.

This includes any condition that may affect safe participation or require assistance during an emergency.

Participants must:

• Bring sufficient medication for the duration of the expedition, allowing for reasonable unexpected delays.
• Carry any necessary emergency medication and medical equipment.
• Inform the guide of relevant emergency treatment requirements.
• Notify the guide promptly if illness, injury or other medical concerns arise during the expedition.

sids.ventures will take reasonable steps to accommodate disclosed dietary requirements, allergies and medical needs.

However, shared food preparation areas, limited supplies and remote conditions may restrict what can safely be accommodated.

Participants with severe allergies or complex medical needs should confirm arrangements before booking.

Basic first aid equipment will be carried, but the expedition does not provide professional medical services.

Relevant personal and medical information will be handled confidentially and disclosed only where reasonably necessary for safety, emergency response or as authorised or required by law.

7. Safety and Remote-Area Risks

Participants acknowledge that travel through remote Australia involves inherent risks, including:

• Vehicle accidents or breakdowns.
• Slips, falls and injuries on natural terrain.
• Extreme temperatures and severe weather.
• Wildlife encounters.
• Bushfires and flooding.
• Delays in emergency medical assistance.
• Limited communication and access to services.

sids.ventures will take reasonable precautions and provide services with due care and skill.

Participants must follow reasonable safety instructions, use provided equipment responsibly and promptly report hazards or concerns.

Seatbelts must be worn whenever required.

Participants must not leave designated areas or undertake unauthorised activities where doing so may create a safety risk.

Emergency Response

In a medical or safety emergency, sids.ventures may arrange reasonable assistance, transport or evacuation.

Participants authorise the provision of reasonably necessary medical information to emergency responders where appropriate.

Participants are responsible for emergency treatment, transport and associated expenses to the extent permitted by law.

Emergency assistance in remote areas may be delayed by distance, terrain, weather and availability.

8. Itinerary Changes

Remote travel requires flexibility.

sids.ventures reserves the right to make reasonable changes to the itinerary, route, activities, campsites or transport arrangements when necessary due to:

• Weather and environmental conditions.
• Road, track or park closures.
• Cultural access restrictions.
• Mechanical or operational problems.
• Health and safety concerns.
• Other circumstances beyond reasonable control.

Where practical, suitable alternative experiences will be provided.

sids.ventures will aim to preserve the overall nature and quality of the expedition wherever reasonably possible.

Significant changes will be communicated to participants as soon as practicable.

Where a material change affects the essential nature of the purchased tour, applicable consumer rights and remedies will be respected.

9. Camping, Accommodation and Equipment

Accommodation and camping arrangements will be as specified in the published itinerary.

Participants must bring their own sleeping bag, appropriate clothing, footwear and personal effects unless otherwise specified.

Camping conditions may include limited or unavailable showers, toilets, electricity, refrigeration or mobile reception.

Participants are expected to assist with reasonable campsite activities where appropriate to their abilities.

No participant will be required to undertake activities that are unsafe or beyond their reasonable capabilities.

Participants must follow instructions relating to campfires, cooking equipment, campsite hygiene and environmental safety.

10. Participant Behaviour and Group Conduct

sids.ventures is committed to providing a safe, respectful and enjoyable expedition for all participants.

Because this is a small-group experience involving shared transport, camping and extended time together, every participant has a responsibility to contribute to a respectful group environment.

Participants must:

• Treat fellow travellers, guides and members of the public respectfully.
• Follow reasonable instructions from the guide.
• Avoid threatening, abusive, discriminatory, harassing or persistently disruptive behaviour.
• Respect the privacy and personal boundaries of others.
• Avoid behaviour that compromises safety or seriously interferes with the experience of the group.

Alcohol may be consumed responsibly where lawful and appropriate. Intoxication that creates a safety risk or significantly disrupts the group will not be tolerated.

Illegal drugs and unlawful activities are prohibited.

Removal from Tour

sids.ventures reserves the right to terminate a participant’s involvement in the tour if their behaviour seriously compromises the safety, wellbeing, comfort or reasonable enjoyment of other participants, guides or the group as a whole.

This includes, but is not limited to, aggressive, abusive, threatening, harassing, persistently disruptive or unsafe behaviour.

Where reasonably practicable, the participant will be informed of the concerns and given an opportunity to correct their behaviour. Serious incidents may warrant immediate removal.

Any removal will be arranged with reasonable consideration for the participant’s safety, particularly given the remote nature of the expedition. A participant will not knowingly be abandoned in an unsafe location.

Participants removed for serious misconduct may be responsible for reasonable additional expenses arising from their removal.

Any refund will be assessed according to the circumstances, reasonable losses and applicable consumer law.

A participant’s respectful disagreement, personal characteristics or reasonable complaint will not, by itself, constitute grounds for removal.

11. Respect for Country, Culture and the Environment

Participants must respect the natural environment, cultural heritage and communities visited throughout the expedition.

This includes:

• Following all relevant laws, park regulations and lawful directions.
• Respecting Aboriginal cultural sites, traditions and access restrictions.
• Observing photography restrictions at culturally sensitive locations.
• Not removing natural materials or cultural artefacts without lawful authorisation.
• Not disturbing, feeding or harming wildlife.
• Following fire restrictions and responsible waste disposal practices.
• Leaving campsites and natural areas in good condition.

Participants must comply with instructions relating to cultural protocols and environmental protection.

12. Photography, Filming and Media

sids.ventures produces photography, video and documentary-style content as part of its broader travel and storytelling activities.

Filming, photography and audio recording may occur during the expedition.

Participants may incidentally appear in general footage of group activities, travel experiences and surrounding environments.

sids.ventures will seek appropriate consent before using identifiable images, interviews or recordings of participants for promotional purposes where required.

Participants who do not wish to appear in identifiable promotional material should advise sids.ventures before departure.

Reasonable efforts will be made to respect these preferences.

Specific interviews, testimonials, individual portraits or substantial appearances in commercial productions may require separate consent.

Any filming will remain subject to relevant cultural restrictions, park rules and permit requirements.

13. Personal Belongings

Participants are responsible for taking reasonable care of their personal belongings.

sids.ventures recommends avoiding unnecessary valuables and obtaining appropriate insurance for cameras, phones, electronic devices and other personal property.

sids.ventures is not responsible for losses caused solely by circumstances beyond its reasonable control.

Nothing in this section excludes liability where sids.ventures is legally responsible.

14. Transport and Departure Arrangements

Participants are responsible for arranging their own travel to the designated starting point and from the designated finishing point unless otherwise stated.

Specific pickup locations, departure times and meeting instructions will be provided before the expedition.

Participants must arrive at the agreed location on time.

Guests are encouraged to allow sufficient time for possible flight delays and other travel disruptions.

Where a participant misses departure, sids.ventures will make reasonable efforts to assist, but cannot guarantee that the participant can rejoin the expedition.

Additional costs associated with joining late may be payable by the participant.

15. Third-Party Services and Optional Activities

Some expedition services may be provided by independent suppliers, including accommodation, transport or activity operators.

Optional activities not included in the published tour price may be subject to additional fees and separate booking conditions.

Participants will be informed of material additional costs before agreeing to optional activities.

sids.ventures remains responsible for its obligations relating to services supplied as part of the booked tour under applicable law.

16. Minimum Age and Participation

Unless otherwise agreed in writing, participants must be at least 18 years of age to book and travel independently.

Participants under 18 may be accepted by prior arrangement, subject to suitable supervision, guardian consent and the requirements of the itinerary.

All participants must meet reasonable safety and participation requirements appropriate to the expedition.

17. Privacy and Personal Information

sids.ventures may collect personal information reasonably necessary to manage bookings and deliver the expedition.

This may include contact details, emergency contacts, dietary requirements and relevant medical information.

Information will be used for booking administration, tour operations, safety and emergency response, and any other purposes disclosed to participants.

Personal information will be handled securely and in accordance with applicable privacy laws.

Medical or other sensitive information will not be used for promotional purposes without appropriate consent.

18. Complaints and Concerns

Participants are encouraged to raise concerns with the guide as soon as practicable during the expedition so that issues can be addressed promptly.

Formal complaints may be submitted in writing using the contact details provided by sids.ventures.

Complaints will be considered fairly and responded to within a reasonable period.

Participants retain all rights and remedies available under applicable consumer law.

19. Consumer Rights and Liability

Nothing in these terms excludes, restricts or modifies any consumer guarantee, statutory protection or remedy that cannot legally be excluded, restricted or modified.

sids.ventures will provide services with due care and skill and comply with its legal obligations.

Participants acknowledge that outdoor and remote-area activities involve inherent risks and agree to follow reasonable safety procedures.

Any limitation of liability applies only to the extent permitted by law.

20. Changes to Terms and Conditions

The terms accepted at the time of booking will apply to that booking.

sids.ventures may update its terms for future bookings.

Material changes to existing bookings will only be made with appropriate agreement or another lawful basis.

21. Acceptance of Terms

By completing a booking, participants confirm that they:

• Have read and understood these terms and conditions.
• Understand the nature of a remote-area camping expedition.
• Acknowledge the relevant physical and environmental risks.
• Agree to disclose relevant medical, dietary and accessibility requirements.
• Understand the cancellation, refund and transfer arrangements.
• Understand that comprehensive travel insurance is strongly recommended.
• Agree to follow reasonable safety instructions and standards of group conduct.

These terms and conditions are governed by applicable Australian law and do not override statutory consumer rights.
