HV Tours – Private Sydney to Hunter Valley Charter Terms & Conditions 2026 By booking a tour with HV Tours, you agree to the following Terms & Conditions. ________________________________________ 1. Tour Overview • This is a private charter tour for a maximum of two (2) guests. • One (1) pickup and return location is included within a 30km radius of Hornsby, NSW. • Standard tasting fees are included at selected cellar doors. • Any tasting upgrades or venue changes requested by guests may incur additional costs and are payable by the guest. A $50 booking-in fee applies • Lunch is included in this tour (conditions apply) unless alternative plans made by guest. • Lunch duration is approximately 60 minutes and may extend to 90 minutes depending on the schedule. ________________________________________ 2. Confirmation & Pickup Guests will be contacted prior to the tour (usually the day or evening before) to confirm pickup time and location. If confirmation has not been received, guests must contact the main business number. Guests must: • Be ready at the agreed pickup location • Board promptly upon vehicle arrival Delays caused by guests may result in reduced time at venues. ________________________________________ 3. Itinerary & Timing Changes to the confirmed itinerary on the day of travel may not be possible. Guests arriving late to pre-booked venues acknowledge they may be refused service by the venue. HV Tours is not responsible for missed tastings or bookings due to guest delays. ________________________________________ 4. Cancellations • Deposits are non-refundable unless otherwise agreed in writing. • No refunds will be provided for cancellations made within 48 hours of the scheduled tour. Prepaid tasting fee’s may not be refunded, this is subjected to the tasting venues individual t&c’s on refunds HV Tours reserves the right to cancel a tour due to unforeseen circumstances. In such cases, a refund or alternative date will be offered. ________________________________________ 5. Seat Belts All vehicles are fitted with seat belts. By law, seat belts must be worn at all times while the vehicle is in motion. The driver reserves the right to refuse to move the vehicle until all passengers are correctly restrained. ________________________________________ 6. Child Restraints HV Tours does not provide or install child restraints. Guests travelling with children must: • Provide an appropriate child restraint • Ensure it complies with NSW child restraint laws • Ensure it is correctly fitted prior to departure Holding a child on your lap while the vehicle is in motion is illegal and strictly prohibited. Smoking & Vaping Smoking and vaping are strictly prohibited inside the vehicle at all times. Additional cleaning or deodorising fees may apply if this condition is breached. ________________________________________ 8. Food in Vehicle Guests are requested not to consume food inside the vehicle. If excessive cleaning is required due to food or drink spills, a cleaning fee may be charged. ________________________________________ 9. Alcohol & Recreational Drugs Consumption of alcohol inside the vehicle is strictly prohibited unless expressly authorised by the driver. This includes: • Alcohol purchased during the tour • Open containers • Alcohol slushies • Eskys or storage of opened alcohol HV Tours is not licensed as a party bus service. If alcohol consumption or possession of open alcohol occurs inside the vehicle: • The driver may terminate the tour immediately • No refund will be provided The use of illegal or recreational drugs is strictly prohibited. ________________________________________ 10. Behaviour & Right to Terminate HV Tours maintains a zero-tolerance policy toward: • Aggressive behaviour • Disrespect toward staff or venues • Excessive intoxication • Unsafe conduct The driver/guide reserves the right to terminate the tour without refund if behaviour is deemed unsafe or inappropriate. ________________________________________ 11. Dress Code & Safety Tours operate in all weather conditions. Guests should wear: • Weather-appropriate clothing • Enclosed footwear suitable for uneven, wet or vineyard terrain HV Tours is not responsible for injuries resulting from unsuitable footwear or clothing choices. ________________________________________ 12. Hens & Bucks Parties Hens and Bucks parties must be disclosed at the time of booking. Failure to disclose this information may result in cancellation of the tour without refund. ________________________________________ 13. Overtime Charges Your tour duration is based on the agreed schedule confirmed at the time of booking. Tour time commences from the scheduled pickup time and concludes at the agreed return time. If the tour exceeds the agreed finish time due to guest delays, extended venue visits, additional stops, traffic delays caused by guest requests, or changes made on the day, overtime charges will apply. Overtime is charged at a rate of $150 per hour, calculated in 15-minute increments. Payment for overtime is required on the day of travel via the available payment methods. HV Tours reserves the right to decline tour extensions where scheduling commitments, legal driving limits, or safety considerations apply. ________________________________________ 14. Vehicle Damage & Cleaning Fees Guests are responsible for maintaining respectful and reasonable cleanliness of the vehicle throughout the tour. Any damage caused to the vehicle by a guest — including but not limited to stains, spills, breakages, burns, tears, or other physical damage — will be charged at the full cost of repair or replacement. If a guest vomits inside the vehicle, a cleaning and sanitisation fee of $500 will apply. This fee must be paid immediately before departing the vehicle. HV Tours reserves the right to: • Charge additional costs if professional detailing, repairs, or loss of service income exceed the standard cleaning fee • Terminate the tour without refund in cases of excessive intoxication or unsafe behaviour ________________________________________ 15. Limitation of Liability & Personal Belongings HV Tours is not liable for loss, theft, or damage to personal belongings during the tour. Guests are responsible for their own valuables, including but not limited to: • Phones • Wallets • Handbags • Purchases made during the tour HV Tours accepts no liability for items left in the vehicle after the tour has concluded.
